Robotics Club

Overview

Robotics Club is for all students from grades 6-8. This competitive club teaches students about robotics concepts and how to build a robot to compete in the VEX IQ Global Challenge. Teams are composed of 3-5 students and at least one parent coach. Weekly meetings are held at school, and students are encouraged to take their robotics kits home between meetings to work on their robots. The staffing is comprised of EMS volunteers (parents and high school students).

Information and Dates

Cost: $40 per student club fee (see below for additional costs)

Dates: Wednesdays, starting 9/17/2025 - 02/04/2026 (no meetings 11/26, 12/24, 12/31, 1/14) 

Time: 1:30pm - 2:30pm

Location: EMS Commons

Registration Deadline:  September 15th, 2025 (may close early, if club's maximum capacity is reached)

 

Additional Costs

  • Club fees cover a VEX IQ robotics kit per team.
  • Additional parts may be required depending on each team’s project status (e.g., broken parts, additional sensors, etc.) Any additional costs incurred should be discussed and covered within a team
  • $70-$100 per team one-time registration fee to REC Foundation to enter the VEX IQ Competition (to be paid in October)
  • $70-$100 per team per tournament registration fee (to be paid when registering the team online for the tournaments later in the year)
  • There may be more expenses for state and world competitions if teams qualify! 

Volunteer

One parent coach to manage each team – they need to advise technically and organize all team activities.

Coaches must be prepared to:

  • Coordinate between parents, students and club chairs.
  • Register the team online and manage school club and tournament fees and travel.
  • Organize and supervise out-of-school weekly team meetings (Time & Venue).
  • Be responsible for the team and the team conduct outside the school and at tournament events.
  • Follow the Student-Centered Policy released by REC Foundation.
  • Ensure that the team has at least 1 parent volunteer for each EMS league session and tournament.
  • Be a PTSA member (join here) and LWSD-approved volunteer.
  • Follow all school and PTSA policies.

How to RegisteR

  1. Form a team of 3-5 students with roles of builder, programmer, driver, engineering notebook, etc.
  2. Find a parent/guardian willing to be your team's coach.
  3. Decide on a team name.
  4. Use this link to enter the team's information (by team coach only). Team coach contacts club chairs to get an assigned team number.
  5. Complete the permission slip here (each student) and submit it to the coach. Coach collects all slips and submits them to robotics@evergreenptsa.org
  6. Pay the Robotics Club registration fee (each student), found here.  Registration may close early if the club's maximum capacity is reached.
  7. Upon receipt of all team members' payments & permission slips, each team will be given a date and a time to pick up your robotics kit at the first weekly robotics meeting on September 17th, 2025.

*Club chairs do not form teams for students or place students into teams. However, if your student needs help forming or joining a team, contact club chairs for a link to a spreadsheet that lists students looking for teams as well as teams seeking additional members. You may add your student’s information there and contact other parents directly. Since the spreadsheet is updated frequently by parents, we recommend checking it regularly.

  • Robotics Information Meeting: 9/6 Saturday, 7:00 PM PST.
  • EMS League (4 sessions in total): 12/3/2025, 1/7/2026, 1/21/2026 and 2/4/2026.
  • EMS Tournament #1 on 1/11/2026
  • EMS Tournament #2 on 2/8/2026.
  • VEX IQ State Championship: March 2026 (subject to change and only if qualified)
  • VEX Worlds Championship @ Missouri - May 2026 (subject to change and only if qualified)
  • Dates are subject to change. 

Commitments

  • Attendance of weekly club meetings at school
  • 4-6 hours of work outside of school per week (per each team's discretion)
  • Participation in EMS League and 2 Evergreen Eagle tournaments at EMS (other tournaments are available but optional)
  • Each team has at least 1 parent volunteer for each EMS league session and tournament
