Robotics Club

Overview

Robotics Club is open to all students in grades 6–8 and introduces students to a broad range of robotics concepts and skills. Topics include robot design and building, programming, driving, engineering documentation, strategy, and presentation skills. 

Teams of 3–5 students work together to build and program a robot and develop strategies to compete in the VEX IQ Global Challenge. Each team is supported by at least one parent coach. 

The club meets weekly at school. Students are encouraged to take their robotics kits home between meetings so they can continue working on their robots and preparing for competitions. The club is staffed by EMS volunteers, including parents and high school students.

Information and Dates

Cost: $40 per student club fee (additional costs are listed below)

Dates: Wednesdays, starting 9/16/2026 - 02/03/2027 (no meetings 11/11, 11/25, 12/23, 12/30, 1/13) 

Time: 1:30pm - 2:30pm

Location: EMS Commons

Registration Deadline:  September 14th, 2026 (may close early, if club's maximum capacity is reached)

Additional Costs

• Club fees cover a VEX IQ robotics kit per team.
• Additional parts may be required depending on each team’s project status (e.g., broken parts, additional sensors, etc.) Any additional costs incurred should be discussed and covered within a team
• $70-$100 per team one-time registration fee to REC Foundation to enter the VEX IQ Competition (to be paid in October)
• $70-$100 per team per tournament registration fee (to be paid when registering the team online for the tournaments later in the year)
• There may be more expenses for state and world competitions if teams qualify! 

How to RegisteR

Step 1 – Form a Team of 3–5 Students 

• Teams typically perform best when students have similar goals and levels of interest in robotics. 
• Team members may take on one or more roles, such as builder, programmer, driver, engineering notebook lead, or other team responsibilities. 
• Roles are flexible and determined by the students amongst themselves

Please note: Club Chairs do not form teams or place students on teams. Parents are responsible for connecting directly with other families to form teams. 

Step 2 – Assign a Parent as the Team Coach 

Each team must have one Team Coach. The Team Coach provides technical guidance and helps organize and coordinate team activities. Team Coaches must be prepared to: 

• Coordinate communication among parents, students, and Club Chairs. 
• Register the team online and manage school club and tournament fees and travel arrangements. 
• Organize and supervise weekly team meetings held outside of school, including coordinating the meeting time and location. 
• Be responsible for team activities and students conduct outside of school and at tournament events. 
• Follow the Student-Centered Policy released by the Global Robotics & Science Foundation. 
• Ensure that the team has at least one parent volunteer for each EMS league session and tournament. 
• Be a PTSA member (join here)  
• Be a LWSD-approved volunteer (join here) 
• Follow all school and PTSA policies. 

Please note: Club Chairs do not provide coaches for teams. The Team Coach must be a parent or guardian of one of the team members. 

Step 3 – Team Coach Completes Team Registration 

• The team should choose a team name. 
• The Team Coach must complete the required team registration. 
• Use the Team Registration Link (link here) or scan the QR code below to submit the team's information. This form should be completed by the Team Coach only. 
• After submitting the registration, the Team Coach should contact the Club Chairs to receive an assigned team number. 

Step 4 – Parents Complete PTSA Registration (each student) 

Parents must: 

• Complete the student's registration with the PTSA. 
• Pay the Robotics Club registration fee.

Registration Link Closes:  September 14, 2026 

Please note: Registration may close early if the club reaches its maximum capacity.

Step 5 – Coaches collect and submit EMS Robotics Responsibility/Permission Forms (each student)

Parents should review all team responsibilities and required permission slips with their child, complete the forms, and submit them to the Team Coach. Scan or click on the Responsibility/Permissions Forms to review. The Team Coach collect and submit permission slips to robotics@evergreenptsa.org.

Step 7 – Pick Up the Robotics Kit 

Once the Robotics Club Chairs have received all team members' payments and required permission slips, they will provide the team with a date and time to pick up its robotics kit. 

Kits are typically distributed at the team's first weekly robotics meeting, currently scheduled for September 16, 2026.

• EMS League (4 sessions in total): 12/2/2026, 1/6/2027, 1/20/2027 and 2/3/2027 
• EMS Tournament #1 on 1/10/2027
• EMS Tournament #2 on 2/7/2027
• VEX IQ State Championship: March 2027 (subject to change and only if qualified)
• VEX Worlds Championship: April/May 2027 (Location TBD, dates subject to change and only if qualified)
• Dates are subject to change. 

Commitments

• Attendance of weekly club meetings at school
• 4-6 hours of work outside of school per week (per each team's discretion), depending on the team's needs and goals 
• Each team is responsible for arranging its own out-of-school meetings, with parent-coach supervision. 
• Participation in EMS League and 2 Evergreen Eagle tournaments at EMS (other tournaments are available but optional)
• Each team has at least 1 parent volunteer for each EMS league session and tournament
